Overview

This Privacy Policy describes how Paper("we," "us," or "our") collects, uses, shares, and protects information when you use the Paper web application at https://paper.nearzero.dev (the "Service") and when you use the official Paperbrowser extension for Google Chrome (the "Extension"). If you do not agree with these practices, please do not use the Service or the Extension.

Who this applies to

This policy applies to end users of the Service and the Extension, including users who join or manage workspaces in Paper.

Information we process

Depending on how you use Paper, we may process the categories below. Not every category applies to every user.

  • Account / profile information. When you create or use an account, we may process identifiers such as your name and email address, along with workspace membership and similar account metadata needed to operate a multi-user product.
  • Authentication and security information. We issue and validate credentials (for example, session tokens) so you can stay signed in and so our servers can authorize requests. Your devices may store such credentials locally (including within the Extension) to reduce repeated sign-ins.
  • Meeting recordings and related media. When you choose to record, the Extension may capture audio and/or video from your selected capture source (such as a browser tab or a user-selected desktop surface) and transmit that content to Paper for upload, storage, processing, and playback in the Service. Recordings and derived outputs (such as transcripts) may contain spoken content and other audio material from your calls, depending on what is captured.
  • Metadata related to recordings. We may process metadata needed to operate the product, such as timestamps, technical recording parameters, identifiers for the recording, and related status information.
  • Network / technical data. Like most hosted services, our servers and infrastructure providers may automatically receive technical information from your browser or Extension when you make network requests. This can include IP address, request timestamps, diagnostic logs, and similar technical data used for security, reliability, and troubleshooting.
  • Settings and preferences. We may process preferences you configure in the Service (for example, workspace settings related to recording workflows or notifications).

Sources of information

We collect information:

  • Directly from you when you register, sign in, configure settings, or use recording features.
  • From your device when the Extension captures media you choose to record and when the Extension stores locally persisted session/configuration values needed to function.
  • Automatically when you interact with our servers and when we maintain logs for security and reliability.

How we use information

We use information to:

  • Provide, maintain, and improve the Service and Extension (including upload, processing, and playback).
  • Authenticate users, authorize requests, and secure accounts.
  • Operate workspace features you choose to use.
  • Detect, prevent, and address fraud, abuse, and security issues.
  • Comply with law and enforce our terms.
  • Provide support and respond to requests.

Local storage in the Extension

The Extension uses Chrome's extension storage to keep limited values on your device, such as session information after you sign in through the Service and small configuration values needed to operate capture features. This storage is scoped to the Extension and is not readable by normal websites.

Service providers

We use third-party service providers to host infrastructure, process media, generate transcripts, and provide product features (including AI-assisted features offered through the Service). Providers may process information on our behalf according to contractual safeguards appropriate to the services they provide.

Data retention

We retain information for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Retention for recordings and transcripts may also be influenced by workspace controls and product features available to your account.

Security

We use administrative, technical, and organizational measures designed to protect information. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

Children

The Service is not intended for children under 13 (or the age required by applicable law in your jurisdiction), and we do not knowingly collect personal information from children in that group.

International users

If you access the Service from other regions, your information may be processed in countries other than where you live, including countries that may have different data protection rules than your country.

Your choices and rights

Depending on your location, you may have privacy rights regarding access, correction, deletion, objection, restriction, or portability. You may also be able to control certain settings within the Service. To submit a privacy request, contact us using the support or account contact methods made available within the Service for your workspace or organization.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. If changes are material, we will take additional steps as required by applicable law.
